Transaction & Membership fees:
Player registration fees do not include third-party payment processing costs and/or mandatory membership fees imposed by Alberta Basketball and Canada Basketball. These fees are set independently by those organizations, are outside NCBC's control, are subject to change without notice, and are strictly non-refundable once processed. NCBC assumes no liability for the amount of, or any changes to, third-party fees.
Financial Assistance
Financial assistance for NCBC registration fees is available through external agencies. To begin the process, families must contact NCBC directly by email at registrar@thunderbasketball.ca, specifying the program(s) each child is registering for (e.g. Boys U13, Girls U11, Tykes). A registration code will be issued by NCBC upon receipt and review of this request; this code is required to complete registration and will not be provided by any other means.
A non-refundable $50 deposit is required at registration to secure the player's spot. Families are solely responsible for applying to their respective external financial assistance program. If approved and the amount received exceeds the balance owed to NCBC, the $50 deposit will be refunded. If the amount received does not cover the full balance, the remaining difference is due in accordance with NCBC's standard payment policies.
All fees must be paid in full prior to evaluations.
Evaluations
Attendance at evaluations is mandatory for all eligible players. Each player must attend their specifically assigned evaluation session — no alternative dates, times, or sessions will be offered or accommodated. Only the player's assigned evaluation session is available to them.
The evaluation schedule will be posted to the NCBC website and social media channels at a later date. It is the sole responsibility of the family to monitor these channels and confirm their assigned session. Failure to attend the assigned evaluation may affect the player's placement or participation status, and no refund will be issued as a result.
Tykes Division: Evaluations are not required for this age group.
NCBC participation:
NCBC operates within the CMBA league structure and is bound by all applicable CMBA policies, rules, and governance requirements as amended from time to time. By registering or participating in any NCBC activity — including practices, games, tournaments, and evaluations — all participants, parents/guardians, coaches, volunteers, and spectators agree to comply with both CMBA and NCBC policies. Where NCBC policy is silent, CMBA policy governs.
NCBC is a volunteer-operated, non-profit organization. Registration constitutes not only enrollment in the program but an acknowledgment of, and commitment to, the shared responsibility of keeping the program running. Excessive administrative burden driven by avoidable inquiries, non-compliance, or failure to read posted policies directly impacts program costs and quality for all families. NCBC appreciates and depends on the cooperation of every family.
NCBC reserves the right, at its sole discretion, to establish, amend, suspend, or enforce any additional rules, policies, or disciplinary measures it deems necessary for the safe, fair, and effective operation of the program — including but not limited to rules governing conduct, participation, eligibility, and team management. Such measures may be implemented at any time with or without prior notice, and NCBC's determination in all such matters shall be final. Specific disciplinary and escalation procedures are outlined below.
Discipline & Escalation:
NCBC Thunder reserves the right to suspend or permanently ban any spectator or participant from all NCBC activities for conduct deemed unacceptable, including but not limited to behavior at games, practices, and events. In serious cases, the associated player may also be removed from the program without refund. All participants are reminded that NCBC programs involve minors, and all adults — regardless of role — are expected to model appropriate conduct at all times. NCBC assumes no liability for decisions made in good faith to protect the safety and wellbeing of players and participants.
Player Availability & Attendance Policy
Consistent attendance is essential to player development, team readiness, safety, and fairness to all participants. Volunteer coaches plan sessions based on expected attendance — unannounced absences waste gym time, disrupt team preparation, and place unnecessary burden on volunteer staff. Families are expected to treat attendance commitments seriously as part of their obligation to the program and to fellow players.
All scheduling and availability updates must be submitted through the TeamSnap platform. Direct messages to coaches do not satisfy this requirement and will not be accepted as notice.
Required advance notice is 48 hours before games and 24 hours before practices. Late arrivals are recorded as partial absences. Consequences for absences are as follows:
Players must attend the practice immediately preceding a game to receive standard playing time. NCBC and its coaching staff retain full discretion in applying attendance consequences and assume no liability for playing time decisions made in accordance with this policy. By registering, families acknowledge and agree to these requirements.
*Any such action will first be submitted in writing to the NCBC board for review and approval prior to any implications for the player or team.
Forfeits In the event a team forfeits a game, any resulting league fine will be shared equally among all rostered players on that team.
Registration withdrawal & refund policy:
All withdrawal requests must be submitted by email to registrar@thunderbasketball.ca including the player's name, age, and reason for withdrawal. A minimum $50 Administration Fee applies to all withdrawals, without exception. The refund schedule is as follows:
Third-party fees (payment processing, provincial/national membership) are non-refundable in all cases. NCBC reserves the right to apply this policy at its discretion, and its determination shall be final.
Zone Registration
Players must verify their designated zone prior to registration using the Zone Finder on the NCBC website. Registering in the incorrect zone will result in a withdrawal subject to the standard Administration Fee. NCBC assumes no responsibility for registrations submitted in the wrong zone — it is the family's responsibility to confirm zone eligibility before registering.
Waitlist
A non-refundable Administration Fee is required to join the waitlist. If a spot becomes available, the fee will be applied toward registration. If no spot becomes available, the fee is forfeited. NCBC makes no guarantee that a waitlisted player will secure a roster spot.
Reminders
Watch the NCBC website and social media channels for your evaluation schedule — it is your responsibility to know your assigned session.
Check your email for your registration confirmation. Retain a copy for your records — NCBC is unable to be responsible for undelivered or deleted confirmations.
Uniform Size Selection:
Please reference the sizing chart and select the appropriate fit for your player. Size requests are accepted but are not guaranteed. NCBC will make reasonable efforts to fulfill size selections; however, availability may limit this. No refund or other remedy will be issued based on sizing outcomes.
Player (friend) requests:
Player placement requests are accepted but not guaranteed. Practice schedules and locations are confirmed only after evaluations and team formation, typically by late September. Scheduling conflicts with other activities do not constitute grounds for a refund, and no refund will be issued under any circumstances based on unmet placement requests. NCBC assumes no liability for any inconvenience, cost, or scheduling conflict arising from unmet requests.
No Volunteer Fee option:
NCBC is a volunteer-run organization and our programs cannot operate without the active participation of our families. We strongly encourage all families to volunteer — your time is what makes this possible.
For families genuinely unable to commit, a No Volunteer Fee option is available at registration for a flat fee of $200 per player. This fee is non-refundable once selected, including in cases where a family subsequently chooses to volunteer. Opting in does not exempt families from the shared responsibility of supporting the program where reasonably possible.
Players registered under the No Volunteer option retain one-time reassignment eligibility in the event their team is disbanded. A team is considered disbanded primarily when no coach is available, a determination that can only be made after evaluations are complete. In the event of a disbanded team, no player registration refund will be issued regardless of volunteer status — reassignment under the No Volunteer option serves as the available remedy in this circumstance.
Uniform bond:
A uniform bond is required for all players. Uniforms must be returned clean and undamaged — any not meeting this standard, at the sole discretion of NCBC, will result in the bond being forfeited.
Volunteer bond:
Volunteer participation is a condition of registration; failure to comply results in the volunteer bond being forfeited. A pre-paid No Volunteer Fee option is available. NCBC's determination of obligations met is at its sole discretion and is final.

What We Collect Personal information collected may include: name, address, email, phone number; proof of age; height; emergency contact information; game and participation history; photographs, video, and likeness; and financial and billing information.
How We Use It We use your information to administer and manage NCBC programming, including scheduling, team management, and participant communication; to record team and program activities; to manage and evaluate our organization and operations; and to meet applicable legal and regulatory requirements.
How We Disclose It We do not sell, license, trade, or rent personal information to third parties. NCBC may share information with service providers engaged solely to support program operations, who are prohibited from using it for any other purpose.
NCBC may disclose group photographs, video, or other media of players, coaches, or participants in our newsletter, on our website, or on our social media channels to promote the program. Individual photographs or media will not be disclosed without prior consent.
NCBC reserves the right to disclose personal information where required by law, regulation, or court order.
Consent Personal information is collected only when voluntarily provided. You may withdraw consent at any time by contacting us at registrar@thunderbasketball.ca. We will inform you of any implications of withdrawal. Withdrawal of consent does not retroactively affect information already collected and processed.
Protection & Retention NCBC makes reasonable efforts to protect personal information against loss, theft, and unauthorized access, in both electronic and physical form. Information is retained for the duration of registration and as required by applicable law.
Changes to This Policy NCBC reserves the right to modify this Privacy Policy at any time. Updates will be posted to our website and social media channels.

Our Mission NCBC Thunder provides a fun, safe, accessible, and positive basketball experience for young players. Our Tykes program is designed to introduce the game through skill development, teamwork, and a lifelong love of sport.
Rules & Responsibilities The rules of basketball exist for safety, fairness, and enjoyment. All participants are expected to observe them in letter and spirit at all times. It is the responsibility of every family to familiarize themselves with program expectations.
Respect for Officials, Coaches & Volunteers All officials and coaches are to be treated with respect at all times. There is to be no verbal or physical prompting of officials regarding calls. Decisions must be accepted graciously. Failure to do so may result in removal from the facility and potential suspension. Coaches are volunteers — without them, there is no program. Respectful conduct is required before, during, and after every session.
Respect for All Participants Every person connected with NCBC is entitled to equal treatment, dignity, and respect regardless of age, background, or ability.
Respect for Facilities & Equipment All gym facilities and equipment must be treated with care. Damage or misuse may result in loss of gym access for the entire program. Guests of any participant are the responsibility of the person who brought them and must abide by the same standards.
